Examples:
- “Strategy + Growth”
- “Deal Review + Decision Making”
- “Content / Marketing Creation”
These blocks are:
- On the calendar
- Treated like a client appointment
- Not moved unless absolutely necessary
No email. No texts. No “quick tasks.”
2. Inbox Windows, Not Constant Monitoring: Instead of living in their inbox, they set specific inbox times.
For example:
- Email checked at 9:30 AM, 1:00 PM, and 4:30 PM
- Inbox closed during deep work blocks
This trains clients and colleagues that:
- Urgent issues go to your phone
- Everything else can wait a few hours
Responsiveness improves because replies are intentional, not rushed.
3. Notification Elimination (Not Reduction): Most top performers don’t “turn down” notifications. They turn them off entirely during focus windows.
Common rules:
- No push notifications for email
- Text notifications only from VIP contacts
- Social media notifications completely off
They decide when to consume information instead of letting it interrupt them.
4. Theme-Based Days or Time Blocks: Rather than context-switching all day, they group similar work.
Examples:
- Monday mornings: business strategy and metrics
- Tuesday afternoons: listing prep and marketing
- Thursday: client-facing meetings only
This reduces mental friction and preserves cognitive energy.
5. A Physical Focus Cue: Many high performers use a simple, visible signal that means “do not interrupt.”
Examples:
- Office door closed
- Headphones on
- A calendar status clearly marked “Focus Block”
It removes the need to constantly explain or justify boundaries.
6. Weekly Planning That Protects Thinking Time First: Instead of filling the calendar and hoping focus fits in, they reverse it.
Their weekly planning order:
- Deep work blocks
- Personal commitments
- Client appointments
- Everything else
Focus is protected before the noise shows up.
7. Clear Expectations With Clients: They proactively communicate boundaries.
Examples:
- “I batch communication so I can stay sharp on negotiations.”
- “I respond within the same business day.”
- “If it’s urgent, call me.”
Clients don’t feel neglected. They feel represented by someone calm, clear, and in control.
